KRZYS: Hello everybody and welcome Geoff and thank you for joining me here are at Busy Hive Podcast.
GEOFF: Thank you very much indeed for inviting me.
KRZYS: So here at Busy Hive we like to start every show with our guest favourite quotes. Could you tell us what your favourite quote and why?
GEOFF: Hoo, that’s, that’s an interesting question but I guess it might be from Socrates and it is “The only thing I know is that I know nothing.”
KRZYS: So how do you, you know, apply it in your everyday life and mentality?
GEOFF: Yeah, starting every day with the approach that there is always something new to learn, allows you to approach every task with fresh eyes even if you’re an expert in the field you can always learn something new. I’m always looking for new ways to learn and always searching for new knowledge.
KRZYS: Amazing! So thank you, thank you for sharing that. So here are the Busy Hive we really focus on the beginning of our journey because we can really learn so much from you know, our highs and lows of our journey. So can you tell us how did you get started and how did you get to the point where are you today?
GEOFF: Okay! Well this really all started from an idea from my wife, Katrina. She runs a therapy practice in Bristol and Bath called, Connect Psychotherapy Practice, but she actually had a good business background before becoming a Therapist. And really she heard she read The Lord Layout Report back in two thousand and nine (2009) and realised that it was, it was great the government was going to commit to spending money to train Therapists but at the same time reductions in the N.H.S. would ultimately lead to Therapists needing to go into private practice. So is, frankly there’s very little support for Therapists on how to run a private practice. So we started putting together the private practice hub website with all the information that a Therapist in private practice needs to know from starting and all the issues surrounding running a therapy practice.
KRZYS: So practice is a business; is it?
GEOFF: Practice as a business, yes. Words that Therapists do have a difficulty with because a lot of Therapists come into this area of expertise, wanting to help people, fully committed to learning all about therapy but have very little experience or knowledge or training in running a business.
KRZYS: Is very, you know I agree completely even you know when I was at school and even schools do take just a but never, never enough take a little time to you know teach us really about a business, or promoting yourself, or marketing but it’s never enough and exactly as you said, you know, the people coming up to be hearts and skills and you know want to save the world and there is the, you know, big words coming like business, marketing, sales, take your money, it’s like and we all kind of panic.
GEOFF: Yes! (Laughter) It certainly does, I mean, I’ve been in front of Therapists doing presentations and you use words such as you’ve just mentioned and you can see it does react with them for sure.
KRZYS: So you in your own mind, can you share us with us one of the challenges when you started as a new business?
GEOFF: Sure, the first challenge and I still have it today, is gaining revenue. Literally we only started monetizing the websites at the back end of last year and it’s difficult to those early days to get in my case, advertisers seeing the opportunities to talk to the Therapist Community. I mean it is only the advertisers at the moment that I gain any money for. I do not ask Therapists for any kind of money to contribute to the website even as a member.
KRZYS: Okay, so how, how, in your mind, how do you think to overcome this? GEOFF: There’s only one word.
KRZYS: Go on.
GEOFF: Perseverance. (Laughter)
KRZYS: And trying and trying and trying.
GEOFF: Absolutely! Every day and if I don’t my wife kicks me; (Laughter) But in seriousness, it’s important that every day I pick up a telephone and speak to a number of people asking whether they’re interested in talking to my audience and I keep doing that and eventually you get the message across. Repi… as my Sales Manager said (repetition) gosh, thirty five years ago, good grief, no, forty five years ago, let’s get it! (Laughter) right “repetition is the mother of remembering!” (Laughter)
KRZYS: Is very, very true and as you said your favorite quote, you wake up every day with a ready mind and just start over; and with the repetition, repetition, till actually happens.
GEOFF: Indeed and it, and it’s also again important parts of my, my career in selling is the, also inborn obviously for a Therapists is the effectiveness of listening. Hearing what is being said on the other side really hearing it and then using that to gain your information and your knowledge.
KRZYS: So you’re still using, you actually you calling the other businesses, how’s your approach? You’re calling, you email them?
GEOFF: It’s a mixture of both. Initially it’s always a telephone call trying to establish who might be the best person to speak to. Sometimes you get through, sometimes you don’t and then it’s a question of follow up with emails, etcetera, etcetera! It’s just a sales process and yeah interesting reactions sometimes. Over the last couple of days, this week, they’ve been three clients that I’ve e-mailed, actually spoken to and yet I still get a reaction, “sorry could you just remind me, I can’t remember that conversation!”
KRZYS: Oh wow, okay!
GEOFF: Yes, so yeah there’s obstacles everyday but those obstacles are there to be overcome.
KRZYS: I think I found it something like you know it comes to the e-mails because just we work on the emails constantly and we sent a lot, a lot of emails. And I you know I’m guilty, I done did before you know when you just see an email came, we just click it. Briefly just read it something, I’m going to respond later on and you forget and you forget and you forget. So it comes sometimes to the, you know someone approach you again, is like “huh, I don’t know, I don’t remember.”
GEOFF: Absolutely, absolutely and it’s, it’s not highest on people’s priorities. It’s not in their thought process that’s why you need to keep or I need to keep on top of it and that’s why I do it myself. I don’t subcontract out to anybody else. It’s very important that I have because I need to know what the marketplace is about; are they interested, are they not.
KRYZS: And it’s really important to actually remind yourself, is that doesn’t sound really pushy and doesn’t sound exactly because people are really busy and that doesn’t sound really pushy. So well you know when you’re sending the initial e-mail, you know wait a couple of days and just remind themselves you know, that they had the chance to you know listen to your email and read your email and just remind yourself again about you know what you have on offer because people are actually busy.
GEOFF: Absolutely, so it’s not a high priority for a lot of people.
KRZYS: Okay, thank you. Now we have reached my favorite part and you know the part when we choose the topic on the conversation, which really always relates to work of our guest. So I have some amazing questions for you to answer. So I understand you know we all have a stress and you know, strain about running our own business, so can you give us some advice on how, how to build a successful practice?
GEOFF: Right, well that’s really what the whole of Private Practice is about. We divide it Into Finance, Marketing, Administration, Human Resources and Professional Issues, so the so-called Five Pillars of Private Practice. And all the tips and tricks of what you need to know are really built into the whole of Private Practice. I guess the most important tip I stress to Therapists whether they’re new or whether they’ve been in practice for a long period of time is, have you got a strategy? Have you done a marketing plan? Have you done a business plan? And, and it is quite clear to me that eighty percent plus of Therapist to Private Practice have never had a plan and if you don’t plan, how’d you know where you are?
KRZYS: That’s very, very, true. Even you know I, I, didn’t start with a Marketing Plan, I didn’t done the Business Plan. I haven’t even put my goals on the paper because I was scared of them. But yeah …
GEOFF: That’s interesting! Were you scared of success or scared of failure?
KRZYS: No, scared to see them, scared to see them so they you know don’t overwhelm me because I was, I was thinking if I put them on the paper I’m going to lose them somehow.
KRZYS: But actually you know, putting them on the paper actually make really, really good changing this what I want to achieve and you know, where I want to go and actually clear my mind to actually you know, have a space to think about those goals instead of just keeping them in my head as well.
GEOFF: Interesting. (So I) I think it’s, I think it’s a fundamental of any business to have a business plan even if it’s you know, a one pager. You don’t know, business plans come in all shapes and sizes and if you’re wanting finance from Barclays or for any of the banks you’re tending to do a thirty page document and I’m referring to the one pager, where you start up on the basis of basic facts. How much you’re going to charge, how much your costs? Interestingly enough when you become a member of Private Practice Help, you get access to resources and the third resource down on the Excel spreadsheets is a what if calculator. So all of the fundamentals are on Private Practice Hub; just fill it in and start working to it because one of the things that you need to consider as a Therapist is, with all this work how much my going to earn. And interestingly enough, the question I receive most from the audience and it’s right when we first started in September two thousand and thirteen to today still the same question.
KRZYS: What are they?
GEOFF: How much should I charge?
KRZYS: Okay! So…
GEOFF: Should I work from home or should I work from my practice? Those are the two fundamental questions that I get all the time. And the first question is quite clear, which actually leads to the second question. Unless you’ve done the business plan, no way of knowing that answer; it’s not just about picking a figure out of the sky, it’s not just looking at what your neighbour next door is charging it’s about, is it financially appropriate for you, is it going to work for you? You might end up on your ‘what if’ calculator after you’ve done all of the, the numbers earning five thousand pounds. Is that enough for you, for the work that you’re doing? Or it could be that you’re a hundred thousand pounds; is that so, you unless you do that what if calculator, you really don’t know where you stand.
KRZYS: Really, really good ideas because well we usually look at and even in school they teach us to like research what people charge around you and you know, charge around that, but actually ….
GEOFF: Absolutely, now the interesting thing with that is for Therapists that is changing. Now if I’m doing face to face therapy you tend or one would tend to look at your client, potential client base being no more than ten miles from your front door; wherever your front door is. However, with the advent now of people looking more and more for Online Therapists that changes the perspective totally because now your marketing is not limited to the ten mile radius. If you do Online Therapy you could be doing it from someone in Boston or from Quebec or from dare I say it, Poland. (Laughter)
KRZYS: What do you mean by Online Therapies?
GEOFF: That’s where you’re using technology and, and, I’m I’m going to use this word very advisedly, Skype like techniques because Skype would not be a recommended product to use for confidentiality reasons. Again if one looks at my website you’ll say all the about issues of Skype. It’s fully documented there on the Online Therapy Hub of Private Practice Hub. There are many other suitable products such as Zoom and many others. And they are a lot more coming from, from other parts of the world and this gives people confidentiality, gives people the space to be able to have a Therapist in front of them but with the requisite skills being able to talk to them as I’m talking to you now (using) of using technology.
KRZYS: Do this as a talking Therapist, not you know, similar like Massage Therapist.
GEOFF: Well, interestingly enough that’s part of my goal actually is trying to get Physical Therapists to engage with online therapy. Now I’m not suggesting that you can do Massage Therapy through technology and some magical but I had known as Massage Therapist using in between sessions of teaching people how to do massaging on themselves but you can also do Osteopath. I would recommend or suggest an Osteopath could do distance Osteopathy, but he can do or she can do Consulting, making sure that if that person has been given exercises and work to do in between session that person is carrying them out.
KRZYS: Oh well, that’s a really interesting.
GEOFF: And that is really the task of, of Physical Therapists to try and engage with this technology and see how they could use it and how they can actually engage with their clients in between sessions because the in between session is an important part. What is the point of me as a client, spending my X pounds per session if I’m not doing any exercise in between? I mean I’ve been seeing Physios, for this areas you need to do this, this and this. Do we do it? Sometimes we do, sometimes other things get in the way of doing it. I know that’s where I’ve been. The last time I was in the hospital I was asked to carry out some, some exercises which seemed very straightforward when I was in the hospital with the Physio, when I came home and I looked at the pictures and tried to remember exactly what to do, (they were not that easy) I struggled, I struggled and I couldn’t do it properly and so that was actually worse than not doing anything I fancy. So yeah, I think that there are ways to engage Physical Therapists with Online Therapists but you make a good point there.
KRZYS: But it’s so much to you know to take together; financing, marketing, administration, social media and so on and so on. So what, you know you mentioned the first will be start to do a business plan.
GEOFF: First to start doing the Business Plan, that’s followed by a Marketing Strategy, which may encompass social media, may encompass doing a website, then you’ve got the issues about who’s going to help you do those things unless you’re capable of doing it yourself. It’s not easy and you also need to make sure that you have sufficient time. One of the most important things about marketing and most Therapists avoid it, is the fact that, I’ve got loads of referrals this month so I don’t need to do marketing. The following months, there’s a dip in referrals, woo I better go and do some marketing now! And they’ll start doing their marketing and suddenly all the referrals will come forward and then they’ll stop. And then so it’s up and down up and down! With marketing it needs to be consistent and continuous and I don’t know many Therapists who do that in fairness and if they did they would have a continual stream of ongoing referrals. Here at Connect, what we do is quite simple really. Katrina when she came out of the N.H.S. and started her practice one of the most important things that she wanted to avoid that she had in the N.H.S. was long waiting lists. The only way that she was able to deal with that was to talk to some of her former colleagues, some people that she was referred to from colleagues and people she knew and built up a string of associates that she could refer work out to. So in other words then, Connect becomes an agency and she just does case reviews or with the therapist that she has to make sure things are going on track. Just a quick overview to make sure that the people that she’s referred to are all being looked after appropriately etcetera, etcetera. And she now obviously doesn’t have any waiting list at all because anyone coming to Connect is seen within two to three weeks by either herself if she’s got space in her calendar, or by one of her associates and we now have twenty one associates working for us throughout Bristol and Bath.
KRZYS: Oh Brilliant! So can you tell us from your experience and your other mistakes you know, new practitioners do so we can avoid it?
GEOFF: Whether one describes it as a mistake or not is probably a moot point but what most Therapists do is run their business on the basis of paper and pen.
KRZYS: Okay! Can you explain?
GEOFF: Yeah I did a survey last year and on technology and discovered that fifty five percent of Therapists in Private Practice still use paper and pen to run their business, which is fine to a certain degree but it does have issues around confidentiality, data protection but it’s also about there are very simple programmes now and we list loads of them all on private practice up all with reviews by an independent Therapist. That can actually help a Therapist run their administration far more efficiently. You can even get a booking online which some Therapists like, some Therapists don’t like but it’s so much easier if you have an administration system that’s fully electronic…
KRZYS: Can you give us… (Sure) Can you give us examples just a few of those programmes?
GEOFF: Yeah there’s, there’s about fifteen of them on Private Practice help with, with complete reviews. (Okay) There’s products like connect, there’s products, sorry, Click I should say, click-hub.com, I think is the Web address that’s one product. I have mentioned that because Katrina, my wife was involved and the consultancy and giving advice to the software house that’s one of the few products that’s actually been written for talking therapists in mind. Most software was written with Physical Therapists in mind like Osteos and Chiropractors. There’s Write Ups, another good product, P.P.S. software – Private Practitioner Software. Those are good, solid, well written pieces but it does depend on your set of circumstances in terms of exactly what you’re looking for in a programme. But if you have a look at the website it does give clear indications about what software does what and which ones are easy to use than others etcetera, etcetera. But yeah we have quite a good collection now there’s about fifteen good quality programmes out there.
KRZYS: Okay, brilliant! You really give us a lot of lots of advice already but just to you know, quickly enough just five tips can you give us some advice, you know, for just the one who just starting their own practice?
GEOFF: Well as I’ve already alluded to:
- The first one is to your Business Plan;
- The second one is to do your Marketing Plan. Those are absolutely my opinion, those are absolutely essential.
- And the next one is to make sure that you let all your colleagues, the people you know, let them know that you’re actually in business. Let them, let them know the people that you are available to, your offering therapy that those three are the most important because they will get you off and running. They will get you started in the right direction.
- And clearly you need to make sure that all of your professional qualifications are up to date and you’ve got the requisite insurance. I should have mentioned actually an Online Therapy you also need to check if you decide that you want to do some Online Therapy, there’s two things that you need to make sure; firstly you’ve been trained to do that because there are a lot of people dealing with online therapy that have never been trained how to use it properly and the best way to talk to clients, etcetera, etcetera and I think that’s soon going to be an issue. You do need to be professionally trained and you need to make sure that your professional body and more importantly your insurance company are aware that you’re doing Online Therapy. And make sure that you’re covered for doing Online Therapy as well as Face to Face Therapy.
KRZYS: Okay so and the fifth one?
GEOFF: I’m going to say it’s you need to persevere because there will be times when the referrals won’t come forward. Where you’ll be thinking, “why am I doing this, no wants me?”
- So perseverance and making sure that you do everything in a systematic way is very important.
KRZYS: Thank you. So let’s now imagine, okay, we’ve done our Business Plan, we’ve done our Marketing, we you know, we talk to all the friends and everyone around, we’re up to date, we’ve you know qualifications training and then we trying and trying and let’s say you know pass let’s say three, four years and you know carry on. So what would be your advice to the Practitioner who’s is already in you know, in the practice for a couple of years?
GEOFF: Sure, hopefully that person would be goal driven so they would be seeing whether their actual goals are matching up. That, that they need to, I mean one of the things all Practitioners whether they’re new or running, are always concerned about referrals and getting the next referrals. So are they doing everything they can get to the next referral and one of the again questions that I get is, “How do I get referrals from GPs?” “How can I get referrals from solicitors?” GPs have been traditionally very difficult to get referrals from. The only way I’ve succeeded so far getting referrals from GPs is specialization. So G.P.’s have monthly Staff meetings, sorry, Partners’ Meetings and what you need to be able to do there is to go and speak to the Practice Manager and offer to go in to the partners meeting and talk the partners on some specialist subject if you have one, or generally you need to give them confidence that you, if they pass over their client to you, that they’ve got confidence that you all kinds of look after their client. And the way that we’ve done it’s for Connect, is we’ve offered to generally our lunch time with GPs, is to offer to take them in what Katrina describes as a, Brown Bank Lunch’, sandwiches or whatever, pay for that as did other organizations in the past. And have, have half an hour with them, get to know them but then to do a proper quality presentation to them to encourage them that you are the right person for them to refer some of their clients to. That works, similarly you do the same thing with lawyers they love it.
KRZYS: Brilliant, thank you, thank you for that advice. Would you…
GEOFF: So the reason why I mentioned that is the fact that I think you need to have certain amount of experience and to be able to do that (Confidence) Yeah I would not, I suggest that persons just starting doing that but certainly if you’ve been in practice for a period of time and you’re looking to see a new referral source and you’re looking at how do how do I get into GPs or I’m sure that lawyers are particularly around clinical negligence, or if they’re doing road traffic accidents, etcetera, etcetera, that’s the area that I would look to.
KRZYS: I think not only lawyers and the G.P.’s but I would also suggest to go to the dentists. You know there’s lots of, they do lots of work about the jaw, you know, there’s lots of joints, muscles around masseters, T.M.J. problems and they’re referrals from you know, from Dentists quite, quite, there’s quite a lot of them and you can really really, gain a lot of clients and cooperation with the Dentists.
GEOFF: Yeah, I know, yes very good point, excellent point! I suppose I have a blind spot to, to Dentists because every time I go (well we all do) to the Dentist (Laughter) But I have it for a different reason because when I go to the dentist I say wow look at those teeth and, and, and they get the Hygienist to come and have a look because I’m one of those very fortunate people I don’t have any issues with my teeth at all; I never had them. (Wow!) So I am very, very, very lucky in teeth. (Laughter) So I never think about Dentist (You) excellent point; thank you for that.
KRZYS: Definitely very lucky cause I’ve been the Dentist a few times and never been a pleasant trip.
GEOFF: That’s why you know about these jaws. I had never even, yeah that’s absolutely right thank you for that.
KRZYS: So the next question is just because you know, it’s going to combine again to you know, our interview questions. So if you were, let’s just changed completely, you know, the idea so you know, if let’s say if you woke up tomorrow morning and you know all your business completely disappear but used to possess all your experience and knowledge; so you have to start completely from the beginning, so what would you do like you know?
GEOFF: Right, the start of the journey. I’m going to sound really boring. Business Plan, Marketing Plan it doesn’t change.
GEOFF: If I had to start from scratch, if I haven’t got a Business Plan or Marketing Plan, I’m not in business because I do need to do the planning. And you know where you asked me about those quotes, there are lots of quotes around planning. In fact, I think I’m going to put it up onto the website because I did do some work and I just did a download of about twenty sayings, quotes around planning.
GEOFF: “A plan is a list of actions arranged in whatever sequence is thought likely to achieve an objective.” “A man who not plan longing, long ahead, will find trouble at his door.” that’s Confucius by the way. (Laughter) I could go on but yeah, planning is the key, my view.
KRZYS: Okay! Thank you very much so the next part is you know the freestyle time when we give you a moment to promote our guests. The courses, your practice, your website or anything you would like to share, so we will give you a little bit of the free style time; here you go!
GEOFF: Lovely, thank you for that. Well I’ve talked a lot about Private Practice Hub, that’s privatepracticehub.co.uk a wealth of information. I usually get commented about the fact that, “Why is it free? What’s the catch?” So much so that there is actually an article and a video about that, it is free, there is no catch. I earn my money from advertisers but the one website I haven’t talked about which I think is going to be relevant to all Therapists is the uktherapyhub.co.uk, which is my directory of all Therapists in the U.K. We’ve got about fifty thousand therapists on there at the moment, we’ve just done a re-launch because we’ve added a lot of more functionality. The most important one is Online Therapy. So unlike a lot of other therapy directories, that’s the first question that we ask a potential client is “are you happy to have Online Therapy or do you want Face to Face?” If they say Online Therapy then the usual question about where are you and how many miles are you willing to go to find your Therapist?, is irrelevant because all you’re looking for is a Therapist that meets your needs. And the other point I would say for Therapists is my new product that I’m working with a business partner on creating Video Profiles. Going to be key over the next three years in my view, I think in order for someone to find a Therapist. At the moment you look at a therapist website, you simply have a few words and a picture (Yes) and you’re supposed make a decision as to who might be the best person to look after you? Very difficult for the individual, however, if it was a short, and I do mean short, profile video to max twenty two minutes, that gives a little bit more inkling as to whether this person is the right person for you. For instance, if I was looking for a Therapist, my most important concern would be the voice and that seems a bit strange but I have a real thing about people’s voices. And if that person’s voice grated on me, it’s not going to be very good Therapist for me. So a video to me is going to be very, very important. So we’re advertising at the moment; if you are interested in creating a video profile I have an ex B.B.C. News Caster and a film crew ready to do your video and charge you a very small price and it’s very easy process. You simply engage with this person on the telephone, they talk to you about what you want to try to achieve, they ask you a series of questions and that’s how the video’s done. She will come on the one hour session that she gives you in front of a camera, she’ll ask you a series of questions that you’ve already had time to discuss the responses that you’re likely to give and then when the video is cut professionally, the Journalist will be removed from the picture so you will be the person who will be and in the frame as it were and that works really well. And interestingly enough I conducted three of those with staff members of mine, (Okay) one of which was absolutely petrified to do this but hey ho she did it, and she did it brilliantly. Why? Because she knew the subject, she could talk from the heart, she wasn’t thinking about the camera or the interviewer, she was thinking about what she wanted to say and how she wanted to say it and so not only do you get the video you actually get coaching thrown in at the same time. KRZYS: That’s a really, really, interesting idea because you know there will be coming into times when the video you make, makes everything at a moment. So you know we all, over Internet you know, the picture, the text, it doesn’t you know, exist anymore. What people see, they’re just lazy to read they just want to see it and listen it.
GEOFF: Well not only that but what I hadn’t mentioned of course is the benefits of having video on your website in terms of the search engine optimization and the ability for Google to find you much quicker and for you to be on the front page of Google rather than on the last page.
KRZYS: That’s interesting I didn’t know that, so video also give you a bit of optimization?
KRZYS: That’s excellent news.
GEOFF: Probably, in actual fact I think in the latest algorithms it actually is ahead of the normal search algorithms.
KRZYS: That’s amazing!
GEOFF: So if you see, if you Google Therapist, I know, Therapist heck ho or even Therapy says I’m looking for a type of therapy in East Midlands or Bradford or somewhere like that. I think the ones which have video on their website will be predominating.
KRZYS: I do quite few videos you know on my website just because we’re, I’m working as a Massage, Mobile Massage Therapists. So people you know want to know who’s coming to their house, or you know to their offices. So those videos you know definitely help me present myself as a business and as a Therapist in a better way.
GEOFF: Indeed. It’s quite interesting back in nineteen ninety (1990) when Katrina was in New York for ten years that’s where, she was actually thinking of becoming a Mobile Therapist and just parking a mobile home near, near Wall Street and I think he put a (Inaudible 37:33-37:34) (Laughter) So life goes around in circles.
KRZYS: So can you, you know the next part of our, our interview is we have a game which we call it, Tag a Guest Game and we’re going to ask you, “Who do you admire and why?” Can you give us a recommendation for an upcoming interview with me?
GEOFF: For sure! It’s probably several people but these three people all understand business, they’ve all in and lots of ways helped myself with Private Practice, help with other articles or with further information. They’ve always been fully supportive of the idea mainly because there is so limited amount of information about how to run your private practice, one or two books none of the associations appear to have any information on Private Practice, running a Private Practice from a business issue. So Gladeana McMahon, she’s a coach and has actually writes for us on the Coaching Hub. There’s Collin Clerkin, who is a Clinical Psychologist, has his own practice but actually does talks and does training on running a practice. And Heather Sikora, who often engages with our LinkedIn groups and our other members giving advice and information on the therapy side and writes very well indeed. (Okay) Clearly we also have Philippa Weitz, who is very much involved in Online Therapy and runs my own Online Therapy Hub together with Carol Francis-Smith. They’re always, they do training in that area as well and they’ve always got ideas of how things should move forward; they’re very progressive in that respect.
